About Our Privacy Policy

Handling of Personal Information

SEKAI HOTEL (hereinafter "the Hotel") establishes the following Privacy Policy, builds a system for protecting personal information, and ensures that all employees fully recognize the importance of such protection. Through these efforts, the Hotel actively promotes the safeguarding of personal information.

1. Personal Information

"Personal information" means information relating to an individual user that can identify that user—such as name, address, telephone number, e‑mail address, or school name—either alone or in combination with other information. Even if a single piece of information cannot identify a user, any information that can be easily matched with other data to identify an individual is also treated as personal information.

2. Purposes of Use

Personal information will only be used for the purposes listed below and will never be used beyond these purposes.

  1. Distributing or sending communications related to this service (e‑mails, newsletters, direct mail, notifications, etc.)
  2. Providing personal information to companies that use this service, based on the user's consent or application
  3. Improving this service, developing new services, and carrying out marketing activities
  4. Conducting campaigns, surveys, monitoring programs, interviews, and similar activities
  5. Sending URL information to people who send blank e‑mails to the Hotel
  6. Responding to opinions or inquiries regarding this service
  7. Investigating and confirming details of applications that violate the Terms of Use—e.g., applications made for commercial resale, multiple duplicate applications, transfers of rights, registration of false information, etc.

3. Purposes of Use for Real‑Estate Property Information

Property information provided by real‑estate advertisers will, in principle, be anonymized before use, and will be used only for the following purposes:

  • Advertising in housing‑related magazines issued by the Hotel, websites managed or operated by the Hotel, or external housing‑related websites partnered with the Hotel
  • On‑site surveys related to such advertising (including registry investigations)
  • Creating statistical data, conducting research, aggregation, and analysis based on that data, and distributing or publishing the findings outside the Hotel

4. Voluntary Provision of Personal Information

If you do not enter the items required for each part of this service, you may be unable to receive the relevant service.

5. Provision of Personal Information to Third Parties

As a rule, the Hotel will not provide personal information to third parties without the user's consent. Personal information will be provided only when the recipient and the content of the information are specified and the user's consent has been obtained. However, personal information may be provided without consent in the following cases, provided this does not violate related laws and regulations:

  1. When the Hotel judges that the user may cause disadvantage to a third party
  2. When it is particularly necessary for improving public health or promoting the sound growth of children and obtaining consent is difficult
  3. When cooperation with a national or local government organization (or a party entrusted by one) is required to execute duties prescribed by law, and obtaining consent may impede those duties
  4. When disclosure of personal information is requested by a court, public prosecutor's office, police, or another authority with comparable powers
  5. When the user explicitly requests disclosure or provision to a third party
  6. When disclosure or provision is permitted by law
  7. When personal information is provided in connection with a merger or other business succession and is handled within the scope of purposes prior to succession

6. Disclaimers Concerning Third‑Party Provision

The Hotel bears no responsibility for personal information obtained by third parties in the following situations:

  1. When a user discloses personal information to a company using this service through the service's functions or by other means (Please inquire directly with such companies regarding their handling of personal information.)
  2. When a user can be identified inadvertently through information they entered into this service
  3. When personal information is provided by a user on an external site linked from this service and that information is used there
  4. When someone other than the user obtains information (IDs, passwords, etc.) that can identify the user

7. Outsourcing of Personal Information Processing

The Hotel may outsource all or part of personal‑information processing operations. The Hotel remains responsible for how personal information is handled by any contractor.

8. Use of Statistical Data

The Hotel may create statistical data processed so that individuals cannot be identified, based on the personal information provided. The Hotel may use such non‑identifiable statistical data without restriction.

9. Changes to Personal Information

In principle, only the user may request any of the following ("Changes, etc."): notice of the purposes of use of personal information; disclosure, correction, addition, or deletion of registered personal information; suspension of use; and suspension of provision to third parties. For specific procedures, please contact the inquiry desk listed below. The Hotel may refuse a request if:

  1. It threatens the life, body, property, or other rights or interests of the user or a third party
  2. It is likely to significantly impede the proper operation of this service
  3. It would violate another law or regulation

If fulfilling a request would incur excessive cost or is otherwise difficult, the Hotel may take alternative measures necessary to protect the user's rights and interests instead of making the requested change.

10. Accuracy of Personal Information

The Hotel strives to process the personal information provided accurately, but users are responsible for ensuring that their personal information is correct and up‑to‑date.

11. Restrictions on Acquisition of Sensitive Personal Information

The Hotel will not, in principle, acquire personal information that includes the following content, unless the user provides it voluntarily:

  1. Matters concerning ideology, creed, or religion
  2. Matters that cause social discrimination, such as race, ethnicity, lineage, legal domicile (except for prefecture‑level information), physical or mental disability, or criminal record
  3. Matters concerning workers' rights to organize, collective bargaining, or other collective actions
  4. Participation in demonstrations, exercise of petition rights, or other political rights
  5. Medical care and sexual life

12. Identity Verification

When a member registers for, or uses, any web service; or when a user requests disclosure, correction, deletion, or suspension of use of personal information, the Hotel confirms identity via information that identifies the individual (name, address, telephone number, date of birth, e‑mail address, membership number, password, etc.). The Hotel is not liable if anyone other than the user obtains and uses such identifying information.
